Email Notifications

Email is the fallback notification channel for Murmurd. If Slack isn’t connected, or for users who prefer email, all prompts and notifications are delivered via email.

Email Types

Check-in Prompts

Daily emails with:

  • Your configured questions
  • Direct link to submit check-in
  • Quick actions (submit/skip via link)

Escalation Alerts

Immediate emails when:

  • You’re assigned an escalation
  • An escalation is reassigned to you
  • An escalation you created is resolved

Summary Digests

Weekly emails containing:

  • Friday Snapshot (end of week)
  • Monday Weekstarter (start of week)

Transactional Emails

Account-related emails:

  • Welcome and onboarding
  • Password reset
  • Invitation to organization
  • Account security alerts

Control your email preferences in Settings → Notifications:

Organization Level

Admins can configure default email settings:

  1. Go to Settings → Organization → Notifications
  2. Set default preferences for new users
  3. Configure email timing
  4. Customize sender name

Email Provider

Murmurd uses Mailgun for email delivery:

  • EU data residency: All emails processed in EU
  • GDPR compliant: Full data processing agreement
  • High deliverability: Enterprise-grade infrastructure

Sender Details

Emails come from:

Email Security

Authentication

All emails are authenticated with:

  • SPF: Sender Policy Framework
  • DKIM: DomainKeys Identified Mail
  • DMARC: Domain-based Message Authentication

Encryption

  • TLS: All emails encrypted in transit
  • Links: Time-limited, single-use action links

Action links in emails:

  • Expire after 24 hours
  • Can only be used once
  • Include anti-tampering tokens

Troubleshooting

”I’m not receiving emails”

  1. Check your spam/junk folder
  2. Verify your email address in profile settings
  3. Add notifications@murmurd.com to contacts
  4. Check notification preferences
  5. Contact your IT team about email filtering

”Emails are going to spam”

  1. Mark Murmurd emails as “Not Spam”
  2. Add to contacts or safe senders list
  3. Whitelist murmurd.com domain
  4. Contact IT for organization-wide whitelisting
  1. Links may have expired (24-hour limit)
  2. Request a new email/link
  3. Try copying the full URL if clicking doesn’t work
  4. Check if your email client is modifying links

”Wrong timezone for emails”

  1. Update your timezone in Settings → Profile
  2. Changes take effect for future emails
  3. Allow 24 hours for timing to adjust

Unsubscribing

Every email includes an unsubscribe link. Clicking it:

  • Opens notification preferences
  • Lets you toggle specific email types
  • Doesn’t affect your Murmurd account
